ApexForm Life Pty Ltd (ABN 11 698 784 904) ("ApexForm Life", "we", "us") respects your privacy. This policy explains what personal information we collect through apexformlife.com and the lead forms we run on LinkedIn, how we use it, and the choices you have. We handle personal information in line with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Who we are

ApexForm Life is a Western Australian company operated by Jake Wyatt. We provide self-development tools and content, including the Paradigm by ApexForm app and coaching and consulting services. You can reach us any time at now@apexformlife.com.

2. What we collect

We only collect what we need:

Information you give us. When you join our waitlist, send a message through our contact form, or email us, we collect your email address and any name, message content, or area of interest you choose to provide.
Bookings. When you book a session or class, we receive your booking details, such as your name, email address, chosen time and your answers to the booking questions, along with confirmation of your payment.
Technical information. When you submit a form on this site we record your IP address and browser user-agent string to help prevent spam and abuse.
Usage information. We use Google Analytics to understand how visitors use the site (pages viewed, approximate location, device type). This is collected through cookies and similar technologies.
Advertising and campaign measurement. We use the LinkedIn Insight Tag on our pages to measure the performance of our LinkedIn advertising and to show relevant ads to people who have visited the site (retargeting). This works through cookies and similar technologies and may collect information such as your device, browser, and pages viewed. We do not send your email address or any other customer-provided data to LinkedIn through this tag.
Google Ads booking measurement. If you allow it, we use Google Ads to see which of our Google ads lead to paid coaching bookings. Google’s tag then loads on our pages and sets first-party cookies on this site (such as _gcl_au, and _gcl_aw when you arrive from one of our ads) to remember an ad click. If you complete a paid Paradigm Reset booking, our server first confirms the booking with Cal.com and the payment with Stripe. Only then does your browser send Google Ads a conversion with the amount paid and a coded booking reference that cannot be used to look up your booking. Like any request to Google, it also carries your IP address, browser details, the page path and Google’s own cookies, and Google may associate it with a Google account you are signed in to. We do not send your name, email address or answers to the booking questions, and we do not use this to show you ads based on your visits (remarketing).
LinkedIn lead forms. When you request a prompt library through one of our lead forms on LinkedIn, LinkedIn hosts the form and passes us your first name, last name, email address, job title and company, along with when you submitted the form and whether you ticked the optional consent box. We use these details to send you the prompt library you requested. We only use them for marketing emails if you tick that box, which covers emails about AI training and resources, and you can unsubscribe at any time (see section 3).
Visit statistics. If you allow it, we use Metricool to count visits. Your browser sends Metricool the page you viewed (without any query text), the domain of the site you came from, your browser window size, standard browser information such as your browser type and language, and your IP address, which Metricool may use to estimate your approximate location. We send this request without cookies.

For this website, we do not knowingly collect information from anyone under 16. Please do not include sensitive personal information in website enquiries.

The Paradigm app is for adults aged 18 or older and is covered by its own Paradigm Privacy Policy, also available inside the app. It explains the app's per-recording permission for OpenAI processing, personal-history use, main-interpretation controls and account-deletion process. App help, including account deletion, is on Paradigm Support.

3. How we use it

To reply to your message or application and discuss working together.
To send you the updates, early access, or resources you signed up for.
To operate, secure, and improve the website.
To meet our legal and record-keeping obligations.

We will only send you marketing emails where you have opted in, and every email includes a simple way to opt out: just reply with "remove" or use the unsubscribe option.

4. Who we share it with

We do not sell your personal information. We share it only with the service providers that help us run ApexForm Life, and only so they can perform their function for us:

Resend: to deliver transactional and confirmation emails.
Notion: to manage our contact and subscriber records.
Google Analytics: for website analytics.
Google Ads: to measure which of our Google ads lead to paid bookings, only if you allow it in Privacy choices (it receives the details listed in section 2, never your name or email address).
LinkedIn: for advertising campaign measurement and retargeting via the LinkedIn Insight Tag (no email or customer-provided data is shared through the tag).
Zapier: to pass your first name and email address to Resend, so we can email you the prompt library you requested (it receives all the lead form details listed in section 2).
Metricool: for visit statistics we review alongside our social media reporting, only if you allow it in Privacy choices (it receives the details listed in section 2, never form contents or email addresses).
Cal.com: to show our booking calendar, take bookings and send booking emails. It receives what you enter when you book, and your IP address and browser information when the calendar loads.
Stripe: to process payments for bookings. It receives your payment details and the details of the purchase. We do not receive your full card number.
Railway and Cloudflare: for website hosting and delivery.

Some of these providers may store data outside Australia (for example, in the United States or the European Union). We take reasonable steps to ensure they protect your information consistently with this policy and applicable law.

LinkedIn's own part in lead forms is different: you give your details to LinkedIn, which handles them under its own privacy policy and passes them to us (see section 2).

5. Cookies

Google website analytics, Google Ads booking measurement, LinkedIn marketing and Metricool visit statistics are optional, and each has its own choice. None of them is contacted until you allow it in . Essential only leaves all four off, Accept all turns all four on, and Choose lets you pick each one. We store your choice on this browser for up to 180 days. You can reopen Privacy choices at any time; withdrawing permission for Google, Google Ads or LinkedIn reloads this page to stop previously loaded trackers. Metricool loads nothing that keeps running, so withdrawing it applies from the next page. You can also block or delete cookies in your browser settings. Declining does not prevent enquiries, subscriptions or bookings.

Our custom analytics events exclude form contents, email addresses and query strings. Google’s automatic measurement also uses its configured collection settings. LinkedIn marketing is used for campaign measurement and retargeting; it has a separate permission from analytics. Metricool receives the details listed in section 2, including the page path and the referring site’s domain, but never query strings or forum thread titles. Private account and administration pages and the Paradigm app’s public legal/support pages do not load these trackers.

6. How we protect it

We use reasonable technical and organisational measures to protect your information, including encrypted connections (HTTPS) and access controls. No method of transmission or storage is completely secure, but we work to keep your information safe and to limit how long we keep it.

7. Your rights

You can ask us to access, correct, or delete the personal information we hold about you, or to stop contacting you. Email now@apexformlife.com and we will respond within a reasonable time. If you have a concern about how we have handled your information, you can also contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

8. Changes to this policy

We may update this policy from time to time. The current version always lives at this page, with the effective date shown above.
